Booking Agreement & Terms of Service Effective Date: May 27, 2026 Thank you for choosing Brick & Vow Urban Elopements for your elopement ceremony experience. This Booking Agreement + Terms of Service outlines the responsibilities, policies, and expectations related to your booking. By completing your booking, you acknowledge that you have read and agreed to the terms below. 1. Booking Confirmation Your ceremony date and time are not considered confirmed until: the booking form has been completed, the required deposit or payment has been received, and Brick & Vow Urban Elopements has issued written booking confirmation. Brick & Vow reserves the right to decline bookings at its discretion prior to confirmation. Bookings are non-transferrable. 2. Payment Terms A non-refundable deposit of 30% (thirty per cent) is required to secure your ceremony date. Final balances are due no later than 10 (ten) days prior to the ceremony date, unless otherwise agreed in writing. Where a Short Notice Ceremony offer has been scheduled with an elopement package, (reserved for short-notice ceremonies and may be booked as close as 7 days - 48 hours prior to the ceremony date), full payment for the ceremony is required at the time of booking, due to sitting inside Brick & Vow’s remaining balance due date of 10 days prior to ceremony. Bookings made with the Short Notice Ceremony addition are non-refundable and non-transferable. Rescheduling requests for this package cannot be guaranteed and will be considered solely at the discretion of Brick & Vow Urban Elopements based on availability and operational capacity. Failure to complete payment by the required date may result in cancellation of the booking. Accepted payment methods: Credit/debit Stripe Etransfer (by request and approval) 3. Cancellations & Rescheduling Self-service cancellation and rescheduling links are provided in the booking confirmation email. Clients may reschedule or cancel their ceremony directly through their booking confirmation up to 14 days before the scheduled ceremony date, subject to availability. Beginning 13 days prior to the ceremony date, clients may no longer make changes independently through the booking system and must contact Brick & Vow directly regarding any requested cancellations or rescheduling. Rescheduling requests within this period are subject to availability, possible additional fees, and are not guaranteed. A non-refundable deposit is required to secure all ceremony dates and reserve availability. Final balances are due 10 days prior to the ceremony date. Any final balance paid prior to the 10-day deadline remains fully refundable until 10 days before the ceremony date. Beginning 10 days prior to the ceremony, all final payments become non-refundable due to the short timeline and the inability to reasonably rebook reserved ceremony dates, secured venues, permits, insurance, vendor commitments, preparation time, and related planning already undertaken. In exceptional circumstances, Brick & Vow may consider rescheduling requests at its sole discretion, subject to availability. Rescheduling requests involving third-party venue reservations, permits, federal land insurance, vendor bookings, or other location-specific costs may be subject to additional fees required to secure replacement arrangements or updated bookings. If Brick & Vow is unable to perform the ceremony due to illness, emergency, unsafe conditions, or circumstances beyond reasonable control, reasonable efforts will be made to reschedule or provide an alternate Marriage Commissioner where possible. 4. Ceremony Timing Couples are expected to arrive 5-15 minutes before their scheduled ceremony. Late arrivals may reduce available ceremony time and may impact setup or booked/permitted location access. If a couple is more than 30 (thirty) minutes late without communication, Brick & Vow Urban Elopements reserves the right to shorten or cancel the ceremony depending on operational limitations, location restrictions, or subsequent bookings. 5. Marriage Licence Requirements Couples are solely responsible for: -ensuring they are legally eligible to marry in Manitoba, -obtaining a valid Manitoba marriage licence no later than 24 hours prior to the ceremony, -ensuring all names and information are accurate, and -bringing the valid marriage licence and government issued photo ID to the ceremony. Brick & Vow Urban Elopements is not responsible for delays, denied licences, incomplete documentation, or legal ineligibility to marry. If a valid marriage licence is not present at the ceremony, the ceremony cannot legally proceed. 6. Venue & Permit Responsibility Brick & Vow Urban Elopements may provide assistance with identifying, coordinating, or securing ceremony locations depending on the package selected and the nature of the location requested. For select standard public locations, applicable booking fees, permits, and liability insurance may be included as part of the ceremony package. Private venues, premium locations, specialty bookings, admission-based spaces, parking fees, and certain permit requirements involve additional costs to the couple, which will always be discussed and confirmed with the couple in advance. Couples remain responsible for complying with all venue-specific rules, restrictions, timing requirements, and guest limitations associated with the selected location. Brick & Vow Urban Elopements reserves the right to decline locations that are unsafe, inaccessible, unlawful, operationally impractical, or inconsistent with ceremony requirements. Unless held in private home/couple-owned locations or locations where the couple has been granted explicit permission, all use of candles, confetti, rice, sparklers, incense, bubbles, petals or similar are all strictly prohibited. 7. Guest Counts Guest counts are determined by the package selected at booking. Additional guests beyond package limits may not be accommodated. 8. Weather & Environmental Conditions Outdoor ceremonies remain subject to weather and environmental conditions. Brick & Vow Urban Elopements reserves the right to relocate indoors, delay, or reschedule to the next mutually available date without penalty or require reasonable modifications due to: -severe weather (including lightning risk, storm watches and warnings) -wildfire smoke, -unsafe temperatures, -flooding, -hazardous terrain, -public safety concerns, or -any other unsafe conditions. Where possible, alternate indoor or backup options may be discussed with the couple. 9. Photography & Privacy Brick & Vow Urban Elopements respects the privacy of every couple. Image sharing permissions are determined by the selections made during the booking process. If a couple selects that their ceremony remain private, Brick & Vow Urban Elopements will not publicly share identifying images or details related to the ceremony. 10. Conduct & Safety Brick & Vow Urban Elopements reserves the right to end, refuse, shorten, or decline services or legal ceremonies where unsafe, illegal, threatening, discriminatory, or abusive conduct occurs. This includes but is not limited to: -intoxication, -harassment, -aggressive behaviour, -unsafe environments, -illegal activity, or -situations that compromise safety or legality. No refunds will be issued in circumstances involving unsafe or prohibited conduct. 11. Limitation of Liability Brick & Vow Urban Elopements is not responsible for: -weather disruptions, -third-party vendor failures, -public interference, -traffic delays, -lost personal items, -permit or booking denials, -guest conduct, -photography limitations caused by environment or weather, or circumstances beyond reasonable operational control. 12. Communication Couples are responsible for ensuring Brick & Vow Urban Elopements has accurate contact information and for reviewing all communications related to the ceremony. Important ceremony details, timelines, and instructions will be provided electronically. 13. Agreement By completing your booking, you acknowledge that: -you have read and understood this Booking Agreement + Terms of Service, -you understand the nature of the services provided, -and you agree to the terms outlined above.
